How to Give Sample Feedback to a Factory (Revision Request Template)

August 20, 20269 min readBy Essty Garment

A sample is not a finished product — it's a conversation. Vague feedback ("the fit is off") wastes a revision cycle. Precise feedback ("waist sits 2cm too high at center front; lower by 2cm") gets you to a production-ready PP sample in one round.

Here's how to give feedback that the factory can act on immediately.

The Sample Stages

Know which sample you're reviewing so your feedback targets the right thing:

What to Document

  1. Photos from 4 angles (front, back, side, detail) on a neutral background, worn on a fit model if possible.
  2. Measurements — compare the sample against your spec sheet, circle every deviation.
  3. Tolerance callouts — state acceptable range, not just the number.

Revision Request Template

Copy this:
Subject: Revision — [Style ID] PP Sample #1
1. Issue: Waistband sits 2cm too high at center front.
2. Evidence: Photo A (front), measured 40cm vs spec 38cm.
3. Request: Lower waistband by 2cm; keep side seam length.
4. Priority: Must-fix before bulk.
5. Approved as-is: Neckline, sleeve length, fabric hand-feel.

How to Phrase Corrections

Vague (avoid)Precise (use)
"The sleeve is wrong""Shorten sleeve by 1.5cm at cuff"
"Fabric feels cheap""Use 180gsm instead of 150gsm; current feels thin"
"Neckline too tight""Increase neck width by 1cm at shoulder seam"

Common Mistakes

Warning: Once you approve the PP sample in writing, you've accepted responsibility for the spec. Review every measurement — bulk errors after approval are on the brand, not the factory.

Frequently Asked Questions

How many revision rounds are normal?

One to two rounds to reach a PP sample is normal. Three or more suggests the tech pack was incomplete — fix the spec, not just the sample.

Should I pay for each revision?

First proto and one revision are usually included. Beyond that, factories may charge. Clarify revision pricing in the sampling agreement up front.

What if the factory ignores my feedback?

Reference the specific spec line and photo. If it persists after clear documentation, that's a red flag about working culture — consider another manufacturer before committing to bulk.
